Anyone you put into ScaffoldOptix counts — on the rota, with a ticket tracked, or named on an inspection. Leave someone out and they cost nothing, but nothing is tracked for them either. A subcontractor you manage in the system counts exactly the same as an employee — the rule is what is in the software, not who is on the payroll.

You can, and nobody will audit you. What you give up is the product: a person who is not in ScaffoldOptix has no card expiry tracked, cannot go on the rota, and cannot be named on an inspection — so the rota stops matching the yard, which is the thing you bought it for. Most firms add the rest the first time that bites. At £125 a year, or about £2.40 a week, one person is worth less than an afternoon of one of them being turned away at a gate.

Mark them as a leaver and they stop counting. The count is taken at renewal on the people who are active then, so a leaver in March means a smaller invoice at your renewal rather than a refund in March — and you are never billed for someone who has already gone.

Add them and carry on — there is no mid-year invoice and nothing stops working when you pass the allowance. The count is taken once, at renewal, so a busy summer costs you nothing until the licence comes round again.

No. Depots, projects, clients, quotes, designs and storage are all unlimited, on every licence. People are the only thing counted, so a second depot costs nothing until you put someone in the system to run it.

No — onboarding and data migration is £1,000, one-off and opt-in, and the checkout leaves it unticked. Take it and we bring your existing contracts, structures and operative records across; leave it and you start on an empty system and fill it yourself. It is never charged again at renewal.
